YourAgencyDesk provides software for insurance agencies to manage agents, clients, licensing, agency-entered continuing-education records and reminders, carrier appointments, training, tasks, documents, and commissions. This policy explains the information processed when you visit our website or use the platform.
Information we process
- Account information such as name, business email, phone number, agency, and role.
- Information entered by authorized agency users, including agent, client, licensing, appointment, training, task, document, and commission records.
- When an agency enables the optional calling feature: caller and recipient phone numbers, call status and duration, notes and dispositions, and call audio only when an authorized user deliberately starts recording.
- Messages you send to us and basic technical information needed to operate, secure, and troubleshoot the service.
How information is used
We use information to provide and secure the platform, authenticate users, support agency workflows, respond to inquiries, maintain records requested by customers, improve reliability, and comply with applicable obligations.
Service providers
We use service providers to host and secure the application, authenticate users, store customer-authorized records, deliver email, process subscriptions, support customers, and provide selected AI-assisted features. Our current providers and the information involved are listed on the Subprocessor List. Private client information should not be submitted to AI-assisted features.
Public website assistant
The public website assistant provides general product information through built-in responses. Do not enter private client information, passwords, financial information, health information, or other sensitive data into it.
Optional calling and recording
An agency may connect its own communications provider and enable calling for authorized users. Call recording is disabled by default and is a separate action from placing a call. The user must confirm that required notice has been provided and consent obtained before recording can start. The agency is responsible for configuring access and retention and for complying with the laws that apply to its calls. Authorized users may play or delete retained recordings according to their role and agency assignment; access and deletion actions are logged.
Sharing and selling
We do not sell personal information. We may share information with service providers working on our behalf, when directed by the agency responsible for the information, or when required to protect the service or comply with law.
Retention and security
Information is retained for as long as needed to provide the service, meet customer instructions, resolve disputes, prevent fraud, and satisfy applicable obligations. Call recordings follow the agency's configured retention period and may be deleted sooner by an authorized user. Following a verified deletion request, information is removed from active systems subject to those needs; residual copies may remain temporarily in provider-managed backups and security logs until they age out through applicable processes. We use reasonable administrative and technical safeguards, but no online service can guarantee absolute security. Additional detail is available in the Trust Center.
Your choices
Agency users should contact their agency administrator to request access, correction, or deletion of records controlled by that agency. You may also contact us about a privacy request.
